Is AI Making Your Team Sloppy? Here’s How to Fix It

As we approach 2025, AI is everywhere, transforming how businesses operate.  But I’ve noticed some disturbing trends.  Too many teams stopping at the basics, relying on AI for shortcuts that lead to sloppy results and missed opportunities. Here, I’m going to talk about how you can avoid that trap and actually make AI work for you to boost your team’s efficiency.

AI Is Everywhere, But Are You Using It Right?

AI is now a staple in tools like ActiveCampaign, HubSpot, and GoHighLevel. For instance, ActiveCampaign recently released an automation builder that claims it can save your team up to 20 hours a month on marketing automation.

But here’s the kicker: you’ll only see those savings if you actually learn how to use the technology effectively. It’s easy to adopt these tools at a surface level—maybe you’re just using AI for writing or basic automation—but you’re leaving a lot on the table if that’s where you stop.

The Sloppy Trap: Relying on AI Without Any Effort

Here’s where I see the problem. AI’s rapid adoption, especially since ChatGPT went mainstream in late 2022, has led many people to over-rely on it without truly understanding its capabilities. You might have team members who plug their tasks into AI, hit “generate,” and call it a day. That’s the sloppiness I’m talking about. The quick results can lead to complacency, with teams falling into the trap of doing the bare minimum, and that impacts your results.

In fact, studies show that up to 77% of people don’t know how to use AI effectively in their roles. If your team is stuck using AI just to save time on writing, it’s time to take things further.

Three Must-Do AI Practices for Your Business

If you’re serious about improving efficiency and keeping your team ahead of the curve, here are three things you must do:

Create a Brand Voice AI Model
Build a custom AI that embodies your company’s voice. This way, your team can pull from a single, unified source to create content that feels cohesive and authentic to your brand.

Here’s what it looks like:

Here are instructions on how to create custom GPTs.

  1. Use AI for Data Analysis
AI is great for more than just content. If you have data—whether from customer behavior or sales funnels—use AI to gain new insights. It might offer a fresh perspective or even uncover trends you hadn’t noticed before.

  2. Stay Updated on AI Features in Your Tools
Whether it’s Canva, Slack, or Notion, these platforms are constantly evolving with new AI functionalities. Make sure your team is staying up-to-date and incorporating the latest features to stay efficient and competitive.

Over-Dependence Can Hold You Back

AI can undoubtedly save time, but it’s not a “set it and forget it” solution. If your team isn’t continuously learning and adapting, you’re falling behind. Don’t let them get stuck in their January 2023 skillset—make sure they’re refining their AI use to stay efficient and effective.

Take Action

So, what can you do right now? First, review the tools your team is already using and explore the latest features. Second, re-evaluate your team’s workload—if they’re using AI effectively, they should be working faster and smarter. And finally, remember that failing to integrate AI properly is costing your business money.

Think about it. If you’re not leveraging AI beyond basic tasks, you’re missing out on real savings and growth. Let this be a reminder: mastering AI is no longer optional; it’s essential.
